Big City Roofing (“we”, “our” or “us”) provides roofing, siding and exterior services in Ottawa and Eastern Ontario. We respect your privacy and handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). This Privacy Policy explains what information we collect through bigcityroofing.ca and in the course of our work, how we use it, and the choices you have.

2. Information We Collect

Information you give us

When you fill in a form on our website, call us or email us, you may provide:

  • Contact details: your name, phone number and email address.
  • Property details: the address of the property where work is needed.
  • Project details: the type of service you need and anything you write in a message or question.
  • Reviews: if you use the “Share Your Experience” form, your name, service location, review title, review text and, optionally, a link to a video review.

Only the fields marked as required are needed to respond to you. Everything else is optional.

If you become a customer, we also keep the information needed to carry out the work: estimates, contracts, invoices, payment records, warranty details and photos of the job site taken during inspections and installation.

Information collected automatically

Like most websites, our hosting server records basic technical data when you visit, such as your IP address, browser type, the pages requested and the time of the request. These logs are used to keep the website secure and working, and are not used to identify you.

Our website does not currently use analytics, advertising or tracking cookies. If this changes, we will update this policy.

3. How We Use Your Information

We use personal information only for the purposes for which it was provided:

  • To respond to your request, call you back, and prepare estimates.
  • To schedule inspections and carry out the work you hire us for.
  • To communicate with you about your project, invoices and warranty.
  • To publish customer reviews you submit to us for that purpose (see section 5).
  • To keep records required by law, including tax and accounting records.
  • To protect our website against misuse and keep it working properly.

We will not send you marketing emails or newsletters without your consent, as required by Canada’s Anti-Spam Legislation (CASL). You can withdraw consent at any time by using the unsubscribe link in any such message or by contacting us.

4. Consent

By submitting a form, calling or emailing us, you consent to us using your information to respond to your request as described in this policy. You may withdraw your consent at any time by contacting us, subject to legal or contractual restrictions. If you withdraw consent, we may not be able to provide an estimate or complete a project.

5. Customer Reviews

If you submit a review through our website, we may publish it on our website together with your name (or first name and last initial) and the location of the work. We may lightly edit reviews for length or to remove personal details, but we will not change their meaning. If you would like your review changed or removed, contact us and we will do so.

6. Sharing Your Information

We do not sell, rent or trade your personal information. We share it only when needed, and only with:

  • Service providers who help us run our business, such as our website hosting provider and our email provider (Google Workspace). They may use the information only to provide their services to us.
  • Suppliers, manufacturers or subcontractors involved in your project, when needed to complete the work or register a product warranty.
  • Government authorities or other parties when required by law, such as for tax purposes or in response to a court order.
  • A buyer or successor, if our business is sold or reorganized, under the protections described in this policy.

Some of our service providers, including Google, may store or process information outside Canada, including in the United States. When that happens, the information is subject to the laws of that country and may be accessed by its courts or authorities.

7. Third-Party Services on Our Website

  • Google Maps. Our Contact and About Us pages show maps provided by Google. When these pages load, Google receives your IP address and may set cookies, under the Google Privacy Policy.
  • YouTube. Some pages include videos hosted on YouTube. A video is loaded from YouTube only when you press play. YouTube (Google) may then collect data and set cookies under the Google Privacy Policy.
  • Social media. Our website links to our Facebook, Instagram and YouTube pages. Those sites have their own privacy policies, which apply once you visit them.

You can block or delete cookies in your browser settings. The maps or videos may not work if you block them.

8. How Long We Keep Information

  • Requests from people who do not become customers: up to 2 years after our last contact, so we can follow up on the same property.
  • Customer and project records: for as long as your warranty is active and at least 6 years after the end of the tax year they relate to, as required by the Canada Revenue Agency.
  • Published reviews: until you ask us to remove them.

Form submissions are sent to us by email and are not stored in our website’s database. When information is no longer needed, we delete it or make it anonymous.

9. How We Protect Your Information

Our website uses an encrypted connection (HTTPS). We limit access to personal information to staff who need it for their work, and we use password-protected systems and reputable service providers. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information from loss, theft and unauthorized access.

10. Your Rights

Under PIPEDA, you have the right to:

  • Ask what personal information we hold about you and how it has been used and shared.
  • Ask us to correct information that is inaccurate or incomplete.
  • Withdraw your consent, as described in section 4.
  • Ask us to delete your information when we no longer need it for the purposes described above or to meet legal requirements.

To make a request, contact our Privacy Officer at info@bigcityroofing.ca or (613) 627-4277. We may need to confirm your identity first. We will respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

11. Children

Our website and services are intended for adults. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time, for example if we add new services to our website. The date of the latest update is shown at the top of this page.
